Create and Manage Projects

Learn how to create projects, connect sourcing events and contracts, and manage documents in project workspaces.

This article explains how to create and manage projects in SourceMagnet. Projects let you group related sourcing events, contracts, and documents in a single workspace.

What is a Project?

A project is a workspace that connects sourcing events, contracts, and documents. How you use projects depends on your organization's needs. Common approaches include:

  • By project — group everything related to a specific initiative, such as "Office relocation 2026".

  • By category — organize by procurement category, such as "IT services" or "Facility management".

  • By department — let each department manage their sourcing events and contracts in one place.

  • By contract area — collect all sourcing events and contracts within a framework agreement or contract portfolio.

There is no single correct way to use projects. Choose the structure that gives your team the best overview of your procurement activities.

Create a Project

  1. Go to Projects in the main menu.

  2. Click + New project.

  3. Enter a project name, select a project type, and set the project status.

  4. Add a description if needed.

  5. Click Save to create the project.

Project Hierarchy

Projects can be organized in a hierarchy with parent and child projects. This is useful when you have a main project with several sub-projects underneath.

Set a Parent Project

  1. Open a project or create a new one.

  2. In the Parent project field, search for and select the project that should be the parent.

  3. Click Save.

The project now appears as a child project under the selected parent.


View Child Projects

When a project has child projects, they are listed under Child projects on the parent project page. Click a child project to navigate to it.

💡 Tip: To build a hierarchy, first create the main project. Then, create additional projects and select the main project as their parent project.

Connect Sourcing Events

You can link existing sourcing events to your project, or create new ones directly from the project.

  1. Open the project and go to the Sourcing events tab.

  2. Click Connect sourcing event to link an existing event, or Create new to start a new sourcing event within the project.

Connected sourcing events are visible from both the project and the sourcing event itself.

Connect Contracts

Link contracts to keep all procurement documentation in one place.

  1. Open the project and go to the Contracts tab.

  2. Click Connect contract to link an existing contract, or Create new to register a new contract within the project.

Documents

The Documents tab shows all documents associated with the project. You can upload files or create rich text documents directly in the project.

Search and Filter Projects

The projects list supports search and filtering to help you find specific projects quickly. Use the search bar at the top of the list to filter by project name.

Project Roles

Access to projects is controlled by two roles:

  • Create projects — create, edit, and view projects.

  • View projects — view projects and connected sourcing events and contracts (read-only).

ℹ️ Note: Users with project roles can also access sourcing events and contracts that are connected to their projects, even if they do not have separate sourcing or contract roles.
